ClearPoint Sync: The Excel Add-In That’s A Game Changer
Arguably one of the best Excel add-ins ever invented, ClearPoint Sync will revolutionize your reporting processes. Learn how in this article.
With ClearPoint Sync, you CAN have everything and the kitchen sink. Arguably one of the best Excel add-ins ever invented, this tool will revolutionize your reporting processes by drastically simplifying the data flow when you update Excel documents and other data sources, such as ClearPoint. You can now keep your information accurate, current, and clean, in a much easier way.
Why ClearPoint Sync Is Important
A huge pain point for many organizations is having data siloed and scattered across departments and people. It’s difficult to not only consolidate information, but also display it in a professional, easily understood manner. This hampers everything from forecasting and goal achievement to team morale.
With ClearPoint Sync, users can bring all quantitative AND qualitative information together in an “easy on the eyes” format. You can seamlessly move data from ClearPoint to Excel and back again, all while retaining consistent formats. Need to quickly update your analysis or use a complex formula?? Done. Data will be updated in both Excel and ClearPoint. While you use ClearPoint for your strategy and management reporting, you may still use Excel for some analytics or operational data. Now you can link the two and integrate all of your management processes.
ClearPoint Sync makes communicating between ClearPoint and Excel incredibly easy, aiding the collaboration process as various teams and departments share data. Ultimately, this saves hours of time on reporting and ensures the reports you share are accurate and up to date.
Using ClearPoint Sync
ClearPoint Sync allows you to take Excel files from your ERP, sales, HR, or other systems and synchronize information with measures you already have in ClearPoint. You can also pull data from ClearPoint, make updates in Excel, and push these updates back into ClearPoint. Your new data will appear in all of your ClearPoint generated reports. It’s automatic and incredibly easy.
*Note: You need to install the Office add-in for ClearPoint Sync to work. It’s a simple step but, depending on your organization and permission levels, may require IT assistance.
Here are the basic steps involved in ClearPoint Sync:
- Export a report—like the Matrix report—from ClearPoint to Excel.
- Update any field in Excel.
- Add new text, numbers, formulas, or information from any other sources.
- Lock data in your Excel sheet to avoid accidental changes and protect your most valuable data.
- Create new sheets as needed, while maintaining the original sheet as your primary data source.
- Post your updated Excel document in ClearPoint.
- ClearPoint’s system automatically evaluates any changes and will update RAG statuses as needed, ensuring what you see in your account is accurate and up to date.
- Refresh a report to pull the most current data from ClearPoint into Excel.
ClearPoint Sync Vs. The Data Loader
One important note is that ClearPoint Sync is not a replacement for the Data Loader. In fact, these tools work in tandem with each other.
Think of the Data Loader as the heavy lifter—it’s an automated way to pull information from many different sources (CSV, SQL, Excel, etc.) on a defined schedule into ClearPoint via an API. For example, the City of Olathe uses the Data Loader to tap into several different databases, automatically uploading 20+ packages of data for monthly reports. The city’s biggest package is a citizen satisfaction survey with 700+ series, and the Data Loader eliminates about a day’s worth of work each quarter.
Another ClearPoint client uses the Data Loader to pull data daily from SQL databases, ensuring their users always have the most up to date financial and operational information available in ClearPoint. Since Data Loader packages can be scheduled to run, the data uploads happen automatically, even if their data guru is out of the office.
In contrast, ClearPoint Sync goes to work after the Data Loader pulls data from all the different sources. You will use ClearPoint Sync to export your data into Excel, make changes or add analysis, and then send it back to ClearPoint...where calculations, evaluations, and reports are automatically updated. ClearPoint Sync allows you to fine-tune your data, share it more broadly across the organization, and retain its validity in ClearPoint.
