Managing initiatives

In this article, we will review how you can manage initiatives (often called “projects”) from the ‘Manage Initiatives’ section. Once an initiative is added, you can make edits on its detail page.

Editing an initiative in the ‘Manage Initiatives’ section

Click on the Initiative menu in the top navigation and select Manage Initiatives. Scroll to find the appropriate initiative, or use the filter at the top of the page to search. Click on the pencil icon next to the initiative.

The Update Fields tab can be used to make changes to that particular period. To learn more about the difference between updating and editing, please see this article.

Below the Update tab, click on the Edit Fields tab. In this tab, changes can be made to the initiative that will stay the same regardless of what period the user is in. Examples of information that can be edited could be an initiative’s start and end date, name, reporting frequency, owner, or dependencies.

Milestones can be added, edited, or deleted in the Milestones tab. Find out more about Milestones.

An initiative’s links can be changed using the Links tab. Initiatives can be linked to other elements in ClearPoint. Notifications can be added, edited, or deleted in the Notifications tab. Find out more about Notifications. When finished making changes, click Save.

Editing an initiative on a detail page

From the initiative’s detail page, click on the pencil icon in the upper right hand corner of the screen. A new window will appear to make changes. When finished making changes, click Save.

Bulk editing initiatives

Click on Initiatives in the Top Navigation. Select Manage Initiatives in the dropdown menu.

A list of the initiatives in the scorecard will appear. Select the initiatives to be changed by checking the box to the left of the initiative name. To select all initiatives, check the box at the top of the page. Once the appropriate initiatives have been selected, open the edit menu in the upper right hand corner. Select Edit Multiple. A new window will appear.

The Initiatives to Update shows all of the initiatives you will be making changes to. In the Update Fields section, changes can be made for the reporting period you are currently viewing. In the Edit Fields section, changes can be made to the initiatives that will be the same no matter what period the user is logged into.

Select the fields you want to change from the Select Fields menu. Selected fields will appear below. Select the value you want to apply to each field here. When finished, click Save. Please note that these changes, once saved, will be reflected on all of the initiatives that were selected.

 

Note: If you find yourself frequently bulk editing start and end dates for initiatives or milestones, consider enabling project dependencies.

Adding milestones to an initiative

Adding milestones inline

From an initiative detail page, double-click on the Milestones field. Click on the plus icon.

In the window that appears, give the milestone a name and fill out any necessary additional fields. Set the start and end dates for the milestone. Click Save and the milestone will appear in the list. After adding the milestones, click the Close button.

Adding milestones from the Edit Initiative window

From an initiative detail page, click on the pencil icon. A new window will appear.

Click on the Milestones tab. Click the plus icon, and another new window will appear. Give the milestone a name and fill out any necessary additional fields. Set the start and end dates for the milestone. Click Save in that window, and Save again to save the initiative overall.

Adding multiple milestones

From an initiative detail page, click on the pencil icon. A new window will appear. Click on the Milestones tab. Next to the plus icon, click to open the dropdown menu and select Add Multiple.

Enter the names of each milestone on a separate line. Fill out other fields, but bear in mind the content will apply to all the milestones being added. Set the start and end dates for the milestones. Those dates will apply to all the milestones, but they can be easily changed later. Click Save. When finished adding the milestones, click Save again to save the initiative overall.

To change the bulk-added milestones’ start and end dates, single-click and drag the Milestones Gantt Chart field and slide the milestones to the appropriate start and end dates. You can also double click to edit more details.

Creating sub-milestones

Like milestones, sub-milestones need to be completed for the overall project to be complete, they have start and end dates, and they are tracked in a Gantt Chart. Once you create an initiative and add a milestone, you can create and designate sub-milestones. Milestones can have four levels of parent-child hierarchy (Parent/Child/Grandchild/Great-grandchild).

From an initiative detail page, double-click on the Milestone field. Click Add. A new window will appear.

Give the sub-milestone a Name and fill out any necessary additional fields. Under Parent Milestone, choose the milestone this sub-milestone should live under. There must be a parent milestone for the new milestone to be considered a sub-milestone.

Set the Start and End dates for the sub-milestone. Click Save and the sub-milestone will appear indented in the list. When finished adding the sub-milestones, click the save button at the top of the detail page.

Adding sub-milestones from the Edit Measure window

From an initiative detail page, click on the pencil icon. A new window will appear. Click on the Milestones tab. Click the plus icon. A new window will appear.

Give the sub-milestone a Name and fill out any necessary additional fields. Under Parent Milestone, choose the milestone this sub-milestone should live under. There must be a parent milestone for the new milestone to be considered a sub-milestone. Set the Start and End dates for the sub-milestone. Click Save in that window.

When finished adding the sub-milestones, click Save to save the initiative overall.

Adding multiple sub-milestones

From an initiative detail page, click on the pencil icon. Click on the Milestones tab. Next to the plus icon, click to open the dropdown menu and select Add Multiple.

Changing a milestone into a sub-milestone

From an initiative detail page, double-click on the Milestone field.

Click on the pencil icon for the milestone that will become a sub-milestone. A new window will appear. Under Parent Milestone, choose the milestone this sub-milestone should live underneath. Click Save. The page will reload and the sub-milestone will appear indented below the parent milestone.

Bulk editing milestones

From an initiative detail page, click on the pencil icon. A new window will appear.

Click on the Milestones tab on the left hand menu. To select all milestones, check the box at the top of the page. Once the appropriate milestones have been selected, click the edit menu in the upper right hand corner. Select Edit Multiple. A new window will appear.
